Dear Colleague, It is time to begin planning in earnest for the upcoming SOLVE deployments. As such, please read this message carefully and note/respond to/take action on all requests. For security purposes and in order to plan appropriate lab space, please send a list of participants to Kathy Wolfe (kwolfe@al.noaa.gov) for all phases of the SOLVE campaign. Specifically, ER-2 teams need to submit a list of names including full address, phone, fax, e-mail, social security number, citizenship, passport number, and green card number (where appropriate) for each of the four components - test flights, integration, January/February deployment, and February/March deployment. DC-8 teams need to submit a list for each of their four components - integration, December deployment, January deployment, and March deployment. The OMS teams (in situ and remote) need to submit two lists each - one for the November deployment, and one for the January (remote) or February (in situ) deployment. When preparing these lists, all SOLVE Principal Investigators (PIs) should consult their NASA Research Announcement acceptance letters for details on the number of people in their group whose travel will be covered under NASA support, and the mechanism for such coverage (e.g., NASA grant or SAIC contract through the NASA Langley Research Center). In addition, investigators whose team members' travel will be covered through the SAIC contract must submit the names of the covered travelers to Mike Kurylo (mkurylo@hq.nasa.gov), who will transmit an approved list for each SOLVE segment to SAIC. Without such information, SAIC will not be able to make the necessary airline reservations or arrangements for travel voucher reimbursement. For those investigators whose SOLVE-related travel has remained within their grant (due to low overhead charges at their respective institutions), if you plan on sending more people into the field than were accepted (the details of which are specified in your accept letter), please make sure you have adequate funding to cover this travel. There are no additional funds to augment the agreements currently in place. If your travel is being funded under SAIC, then you must make your airline reservations (either personally or through SAIC) at least one month in advance in order to effect the lowest fares possible. Those who have not made reservations prior to the cut-off date run the risk of not receiving full reimbursement for their airline tickets. Refer to calendars on SOLVE web site (http://cloud1.arc.nasa.gov/solve/). The calendars can be found under 'Project Events.' The calendars have been updated to reflect current plans for the mission. Information is provided for all aspects of the campaign. Logistics information regarding hotels and car rental can be found on anonymous ftp site ftp.al.noaa.gov in the public/Wolfe/SOLVE folder. The information is provided in three formats: Microsoft Word (*.doc), portable document format (*.pdf), and rich text format (*.rtf). This information soon will appear on the SOLVE web site as well. Please review the document carefully and make your hotel selections based on the information provided. Note that the SOLVE campaign will take place in concert with a number of other activities in Kiruna, and it is extremely important that you make your reservations as soon as possible. There are a limited number of hotel rooms in Kiruna, and our group will use more than half of those rooms. In addition, our European colleagues participating in EuroSOLVE will also be requiring hotel rooms at the same time as the SOLVE Science Team, further taxing the available rooms. Please do not delay in making your reservation requests. All cars are to be rented through the Hertz office in Kiruna. Information regarding cars, rates, insurance, etc. is provided in the logistics document. Again, please fax your reservation requests as soon as possible so that the Hertz office can be sure to have an adequate supply of cars for the various deployments. We anticipate that most teams will rent a mid-size car. The rental agency will provide Volvo station wagons for this category, and the cars are more than adequate to transport three or four people and their luggage. Please note that those investigators whose travel is supported by SAIC must rent a mid-size car in order to insure full reimbursement. Any exceptions to this policy must be approved by SAIC **in advance** and are subject to very stringent regulations. DC-8 teams need to note that they are responsible for making their own hotel and car reservations. This had been done by the NASA Ames DC-8 Project Office in the past; however, no group reservations will be made for the DC-8 participants for SOLVE. If you have any questions regarding logistics (hotels, car rental), please contact Kathy Wolfe. SAIC will e-mail instructions concerning air travel reservation and the procedure for submitting expense reports to all SAIC-supported travelers as soon as they receive the list of approved travelers from Mike Kurylo. In the meantime, if you have any questions, contact Roy Chesson at 757.827.4686 or r.w.chesson@larc.nasa.gov. Please note that SAIC will not be able to make your reservations until they receive confirmation from Mike Kurylo regarding your approved participation; therefore, you must provide your team list (as detailed in the fourth paragraph of this message) to Mike as soon as possible. Questions regarding military transport for personnel and/or equipment should be directed to Mike Craig (mcraig@mail.arc.nasa.gov). The SOLVE acceptance letter for each ER-2 group indicates the number of people who are expected to transit via military transport at the beginning of the January/February deployment and the end of the February/March deployment. DC-8 investigator acceptance letters indicated that we are counting on at least 20 non-civil service investigators being able to travel with the DC-8 for each of the deployments. Please consult Mike Craig regarding the number and identity of such people in your group. We look forward to your participation in SOLVE. This will be a complicated campaign, both technically and logistically. With your assistance, we will be able to implement all of the planning necessary to make things run smoothly.
